How we collect, use, store and protect personal information — written in plain English, under the New Zealand Privacy Act 2020.

pipehq ("we", "us", "our") is a lead-generation business based in Christchurch, New Zealand. We connect people who enquire about KiwiSaver, life insurance and health insurance with licensed financial advisers. This policy explains what personal information we collect, why, and what you can do about it. We handle personal information in line with the New Zealand Privacy Act 2020.

Who this policy covers

  • Advisers — people who register with us to receive enquiries, or who ask about doing so.
  • People enquiring about cover — anyone who responds to one of our campaigns, fills in one of our enquiry forms, or speaks with our team about KiwiSaver, life or health cover.
  • Website visitors — anyone browsing pipehq.co.nz.

What we collect

If you're an adviser

When you register or contact us we collect what you give us: your name, email, phone number, business name and address, FSP or registration number, the regions you serve, the enquiry types you want, and how you heard about us. We also keep records of the enquiries we deliver to you, our correspondence, and billing information.

If you enquired about cover

When you respond to one of our campaigns or forms we collect the details you provide — typically your name, contact details, and information about your situation relevant to the cover you asked about (for example, your KiwiSaver provider or the type of insurance you're interested in). If you speak with our team by phone, we keep notes of that conversation so the adviser we introduce you to has the context you've already given.

If you just visit the website

Our website is hosted on Cloudflare, which keeps standard server logs (such as IP address and pages requested) for security and performance. Page fonts are served by Google Fonts, which involves a request to Google's servers. We do not set advertising or tracking cookies on this site. If that changes, this policy will be updated first.

Why we collect it

  • To review adviser registrations, set up adviser accounts, and deliver enquiries to them.
  • To qualify your enquiry and introduce you to one adviser — enquiries are exclusive, so your details are passed to a single adviser, never sold to multiple parties or added to shared lists.
  • To respond to support requests and manage our relationship with you, including billing.
  • To meet our legal obligations and to run, secure and improve our service.

Who we share it with

  • If you enquired about cover: the one licensed adviser we match you with, so they can contact you about your enquiry. That's the point of the service, and it's the only reason we pass your details on.
  • Service providers we use to run the business — such as our CRM, email delivery, hosting and phone systems. They process information on our behalf and are not permitted to use it for their own purposes. Some providers store data on servers outside New Zealand; where they do, we take reasonable steps to ensure the information is protected by comparable safeguards.
  • When the law requires it — for example, to a regulator or under a legal obligation.

We do not sell personal information. We do not share your details with anyone else for their marketing.

How long we keep it

We keep personal information only as long as we need it for the purposes above, or as the law requires. Enquiry and account records are retained while the relationship is active and for a reasonable period afterwards for billing, dispute and compliance purposes, then deleted or anonymised.

Security

Information is stored in access-controlled systems, and we limit who can see it to the people who need it to do the job. No internet transmission is perfectly secure, but we take reasonable and proportionate steps to protect the information we hold.

Your rights

Under the Privacy Act 2020 you can ask us at any time:

  • What personal information we hold about you (access).
  • To correct information that's wrong or out of date (correction).
  • To stop contacting you, or to delete information we no longer need to keep.

The fastest way is the support form (pick the privacy topic) or email [email protected]. We'll respond within 20 working days, and usually much faster.

If you're not happy with how we've handled your information or your request, you can complain to the Office of the Privacy Commissioner at privacy.org.nz.

Changes to this policy

If we change how we handle personal information, we'll update this page and the date at the top. Material changes to how enquiry details are used will be flagged clearly, not buried.
